Middle School Parent Teacher Conference Information

Dear Parents/Guardians:

Our fall Parent-Teacher Conferences will be held Nov. 23 and 24, 2026. The schedule is as follows:

Monday, Nov. 23, 2026

In-person conferences: 6 to 7:20 p.m.
Virtual conferences: 7:30 to 8:30 p.m.

Tuesday, Nov. 24, 2026

In-person conferences: 8 to 11:30 a.m.
Virtual conferences: 11:40 a.m. to 4 p.m.

To streamline the process and make scheduling as convenient as possible for parents and guardians, we will once again use the online scheduling program Pick-A-Time. This system allows you to schedule your own appointments using a computer, tablet or smartphone.

CLICK HERE to view the letter of instructions for scheduling your conferences. Once appointments are scheduled, you may print or save your schedule for future reference. Access to Pick-A-Time will be available from Monday, Nov. 2, through Friday, Nov. 20. Additional information is available on the Middle School homepage and will be shared through ParentSquare.

When parents schedule a team conference, they will automatically be scheduled with their child’s core academic teachers in math, science, English and social studies. Some exceptions may apply and will be indicated on the scheduling screen. If a student participates in a collaborative class, the special education teacher will also be included in the team conference. All other teachers may be scheduled individually. Special-area teachers must be scheduled directly with the individual teacher.

If you schedule virtual conferences, we strongly recommend emailing yourself a copy of your schedule from the Pick-A-Time confirmation screen. The confirmation email will include all Google Meet links for your appointments. At the scheduled time, please join each conference using the links provided in the email. Parent-teacher conferences are limited to 10 minutes.

Please note that Pick-A-Time allows only one appointment per teacher, per student, and one team conference per student. For students with collaborative teachers, the system will automatically schedule both teachers at the same time. If you need to cancel or change an appointment, you must do so through Pick-A-Time and provide at least 24 hours’ notice.

We believe direct communication with your child’s teachers is vital to student success. We encourage all parents and guardians to participate in these conferences, especially if their child is experiencing academic challenges. If you are unable to attend, please remember that you may contact the Middle School at any time during the school year to arrange a meeting or phone conversation with a staff member.

If you have questions or need assistance with scheduling, including concerns related to multiple children, co-parenting arrangements or technology, please contact Amanda Collins at amanda.collins@vcsdny.org.

Sincerely,

Jayme Ginda-Baxter
